## **Managing Show Fees**

This guide covers how to create, edit, and configure show fees, including nomination fees, public display settings, and fee groups.

### **Viewing and Creating Show Fees**

Your show fees are created and managed from the Show Fees table. Show fees allow you to charge entries or barn accounts for items or services. This table shows each fee's category, unit price, tax setting, whether it applies to new entries or new riders, and its refund policy.

**To edit an existing fee:**

1. Click the three dots next to the fee.
2. Select Edit.
3. Make your changes.
4. Click Save.

**To create a new fee:**

1. Click New Fee.
2. Fill in the details (for example, an RV fee).
3. Click Save.

Once a fee is created, you can drag it into whatever position makes sense using the icon on the left side of its row, secondary fees are often easier for exhibitors to find near the bottom of the list.

#### System Fees

You'll notice a couple of fees marked as System: Card Service Fee, applied automatically as part of the transaction whenever an exhibitor or contestant pays for their entry with a credit card, and Nomination Fee, configured separately under Nomination Fees (see below). Once set up, it's automatically added to this Show Fees table.

#### Reprocessing Show Fees

You can also reprocess fees directly from the Show Fees table. Select the checkboxes next to the fees you'd like to reprocess, then open Bulk Actions and choose Reprocess. This is a quick way to reapply fee settings across the fees you've selected without needing to open each one individually.

#### Nomination Fees

Nomination fees are additional fees charged when entries are added to certain types of classes. You'll find this section under Divisions and Classes > Nomination Fees. You can make nomination fees as specific or as general as you'd like by using tags, which also determine which classes qualify for the fee.

Click New Nomination Fee to create one, setting its name, amount, and the tags that determine which classes it applies to.

**Recalculating All Entries on Nomination Fees**

The Recalculate All Entries button lets you re-run your nomination fee calculations across every existing entry in your show. This is especially useful if you've changed a nomination fee's amount, tags, or group settings after entries were already submitted, so that already-existing entries reflect your updated fee rather than only new entries going forward.

### **Public Experience Settings for Show Fees**

Head to Settings > General > the Public Experience tab, then scroll down to Show Fees to control how your fees are displayed and behave for exhibitors.

<figure><img src="/files/50IN1a7zZQXE9V9LXi6P" alt=""><figcaption></figcaption></figure>

The first check box, allows for exhibitors to select show fees, which lets exhibitors choose their own quantity-based fees at registration.

#### **Stabling Request Customizations**

The second sheck box, allows exhibitors to create barn accounts/stabling requests, which activates a matching section of settings for barn accounts, alongside your entry settings. If you reference the second checkbox circled in red below, you'll see a new column appear for barns.&#x20;

#### **Fee Behaviors**

For each individual fee, you can choose how it's displayed and how it behaves, for both entries and barn accounts:

**Hidden**&#x20;

The fee is hidden from public view and only visible to management, for example, a Re-Ride Fee

**Changeable**&#x20;

Exhibitors can adjust the fee's quantity as needed, for example, choosing 10 bags of shavings instead of 20

**Required**&#x20;

The fee is mandatory, and exhibitors must include it to proceed to checkout, for example, every entry having an Office Fee.

{% hint style="info" %}
Once you've set each fee the way you want, **click Save Changes** to publish your settings to the public side.
{% endhint %}

### **Configuring Show Fee Groups**

Navigate to Settings > General > Public Experience > scroll down to the Show Fees section.&#x20;

Fee groups let you organize related fees together and set rules for how exhibitors select among them. For example, you might group a Stall Fee and a Trailer-In Fee together if exhibitors should choose one or the other, rather than being able to select both, or neither.

<figure><img src="/files/kJUQ8TggFaUr0gBt5sio" alt=""><figcaption></figcaption></figure>

**To create a group:**

1. Click Add Group.
2. Enter a Group Name, a required label for the group (for internal reference).
3. Choose a Constraint, the selection rule for the group: At Least One (exhibitors must select one or more fees from the group), Exactly One (exhibitors must select exactly one fee from the group), or At Most One (exhibitors can select up to one fee from the group, but aren't required to choose any).
4. Select a Target, whether the group applies to Entries or Barn Accounts.
5. Under Show Fees to Group, search and select the fees that belong in this group. Groups require at least two fees to be added before saving.
6. Click Save.

Once your group is set up, click Save. Your new group will appear in the group list below, along with its target and the fees included.

### **What Show Fees looks like for Exhibitors & Contestants**

Every show is configured a little differently, but in general, fees will display on your public dashboard once exhibitors start signing up.

<figure><img src="/files/LeNMWK2WI6Gb81p5mO49" alt=""><figcaption></figcaption></figure>

We recommend walking through the entry submission process yourself so you can see the fee experience firsthand. This confirms everything is set up the way you intend, and you can always go back and make adjustments afterward.

<figure><img src="/files/OmtA2FrKcbrIwzB57jop" alt=""><figcaption></figcaption></figure>

As a user selects their classes during sign-up, they'll see an estimated total for any classes with a price attached. This order summary is just an estimate, it updates in real time as they add or remove classes. They will also see required and optional fees. Any optional fees can always be adjusted for after the entry is submitted.&#x20;

{% hint style="info" %}
If the entry wants to add or remove optional fees, they have to contact show management. In the near future, exhibitors will be able to manage that from their backend experience and submit it to show management.&#x20;
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://help.horsespot.com/product-docs/show-settings-and-fees/show-fee-setup-and-customizations.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
